Still holding on to Windows 10 in your business? It’s time to start thinking about making the move to Windows 11.

Three years after its release, Windows 11 is making major headway, with its market share reaching 35.55% in October 2024. While Windows 10 still holds around 60.97% of the market, change is on the horizon – and there are some compelling reasons to consider the switch.

First, let’s talk about the big news: From 14th October, Windows 10 will no longer receive free support from Microsoft. Although this doesn’t mean Windows 10 will stop working, it will stop getting important updates, such as up-to-date protection against malicious software and cyber threats.

Microsoft will be offering extended security support for Windows 10 for an extra year, but this will cost businesses $30 (around £23) per device and could get expensive. And this is only a temporary solution.

So, why has interest in Windows 11 spiked recently?

For one, the PC market has picked up. This is partly because of the rise of "AI PCs", which use hardware that is more capable of handling AI-based tasks. People want to make sure their devices are compatible with the latest software, including Windows 11. There’s also buzz around the rollout of “Windows Intelligence” – a possible rebrand of some Windows 11 AI features.

Upgrading to Windows 11 isn't just about keeping up with the latest tech, though. Another reason people are moving to Windows 11 is that it offers a more streamlined and user-friendly experience. New features include customisable widgets and an improved File Explorer, helping you to get things done faster.

Another major benefit to businesses is that Windows 11 brings improved security, offering better protection against cyber threats like:

Ransomware, where you get locked out of your files and held to ransom for their (possible) return
Phishing attacks, where you get tricked into revealing sensitive information through things like fake emails

Time saver - Auto-launch your favourite Windows 11 apps

Imagine starting your PC and your favourite apps open automatically. It's a small change that could save you a lot of time. Here’s how to make it happen...

Imagine turning on your computer and having all the apps you need for the day already open and ready to go. That’d be useful, right?

Windows 11 lets you set your favourite apps to launch automatically when you log in.

Setting it up is easy. And it’ll help you and your team dive into work faster.

For some apps, you can set up auto-launch like this:

Head to Settings
Click Apps
Then select Startup

Here, you’ll see a list of apps that support auto-launch. Flip the toggle for the apps you want to open when you start your computer, and they’ll be ready for you next time you log in.

If an app doesn’t appear in the Startup area of Settings, don’t worry. You can set the app to auto-launch another way.

For this, head to the special Startup folder in Windows 11. Here you can add shortcuts to any app you want to launch automatically.

Here’s how you do it:

Hit “Windows Key + R” to open the Run tool
Type ‘shell:startup’
Click OK

Now you’ll be able to add a shortcut to your chosen app using its executable file (usually shown as an .exe file in Program Files).

One thing to remember, though. While it's tempting to set all your favourite apps to launch automatically, opening too many at once can slow down your computer. Stick to the essentials.

Wouldn’t it be great if your Windows 11 computer could handle tasks just like a real-life assistant?

That’s exactly what Microsoft wants to achieve with Windows Agent Arena, its new AI project.

The goal is to create smart virtual assistants, known as AI agents. They will be able to complete tasks on your computer. They could save time by doing repetitive tasks for you, such as managing apps or organising files.

So, what exactly is an AI agent? And how could it help your business?

An AI agent is a type of artificial intelligence designed to interact with your computer. Instead of only giving you information, AI agents can perform actions for you.

For example, you could train an AI agent to run your morning routine. It would open your calendar, launch your email app, and check the news. When you begin your day, the agent would know what info to share with you, like a virtual assistant.

Imagine having AI agents that update your software, or even edit documents for you. They could enable privacy options in Microsoft Edge, install extensions or update settings. This saves you time and hassle, so you can focus on bigger things.

The project is open source. That means developers around the world can contribute to help these tools evolve. Although they’re still in development, the potential for businesses is exciting.

Now, Windows Hello is getting a makeover, bringing not only a new look but also enhanced security features that are perfect for busy business owners.

If you’re not familiar with Windows Hello, it lets you skip traditional passwords and sign in using:

Facial recognition

Or a simple PIN

Here’s how to fix that Windows 11 File Explorer glitch

Is your business running version 24H2 of Windows 11? You might be experiencing a small but annoying glitch when clicking “See more” in File Explorer. Here’s how to fix it.

If you've installed version 24H2 of Windows 11 for your business, you might have noticed an annoying glitch in File Explorer.

File Explorer is that familiar window you use to browse your files and folders. Normally, it’s straightforward – but some people are running into issues with the “See more” menu after downloading this update.

The menu, which is marked by three little dots, usually pops up below your mouse cursor, giving you options like “Select All” or “View Properties”.

But thanks to a recent bug, the “See more” menu is flying up to the top of the screen, often disappearing out of sight. And if you’re using File Explorer in full-screen mode, some menu options might not even be visible.

Frustrating, to say the least.

Luckily, there’s a simple workaround: Just make sure you’re running File Explorer in windowed mode where it shares the screen with other applications. To do this, click the square icon in the top-right corner (next to the “X” you’d click to close it).

You can then resize the File Explorer window, allowing you to use the “See more” menu, even if it’s still misbehaving.

The good news is that Microsoft are aware of the problem. They’re working on a fix.

Little glitches like this can be a nuisance when you and your team are trying to get things done.

Beware that support call – it could be a ransomware scam

Would your employees give an unknown caller access to your business devices? But what if they got a Teams chat from someone posing as Microsoft support? Here we tell you all about a new ransomware scam

If you get a call claiming to be from Microsoft Teams support, think twice before doing what they ask.

There’s a new trend for scammers to pose as “help desk” staff, with the aim of tricking employees into letting them take over their devices.

This is part of a larger ransomware attack, where you’ll be denied access to your business data unless you make a hefty payment to get it back.

Recently, a notorious cyber crime group has taken this scam to a new level.

First, they’ll flood an employee’s inbox with so much spam that it becomes unusable. Then they swoop in with a phone call, pretending to be from IT support, offering to “fix” the problem.

They may ask your employee to install remote desktop software like AnyDesk or use built-in tools like Windows Quick Assist. Once they have access, they can move around your network, collect sensitive data, and launch ransomware on your devices.

Be warned – they don’t only reach out over the phone. They’ve also started setting up Teams accounts to make employees think they’re part of IT support.

They do this by choosing usernames like “Help Desk” and using fake Microsoft tenant domains such as “securityadminhelper.onmicrosoft .com”. Then they send one-to-one messages to employees, saying they need access to their device.

Ransomware attacks are serious business. Along with locking you out of your data, they can also shut down your operations, disrupt customer service, and potentially leak confidential information.

Recovering from a ransomware attack can be expensive, both in terms of paying the ransom and dealing with the aftermath. It can cause loss of revenue, damage your reputation, and it could even have legal consequences.

Make your team aware of this scam and encourage everyone to be cautious with any unsolicited support calls or Teams chats. And make sure everyone knows to check with your actual IT department first, if someone is asking to install software or gain access.

Also, if you use Microsoft Teams in your business, make sure it’s set up securely. Only allow external chats from trusted domains, and make sure chat logging is enabled.

Security alert: Attacks on business email accounts are surging

Your business relies on emails every day – that’s exactly why scammers target them. Here’s what you need to know.

Email has become an essential tool for any successful business, but as the saying goes, "with great power comes great responsibility".

As a business owner, it’s your responsibility to make sure your emails are secure. It’s one of the key ways to stop your business data falling into the wrong hands.

Business Email Compromise (or BEC) is a growing threat. And if you become a target, it could cost you – big time.

So, what exactly is a BEC attack?

In simple terms, it’s where scammers pose as people high up in the business, like CEOs, executives, and IT staff. The goal is to trick your employees into sharing sensitive information or sending money. Research shows that nearly 90% of BEC attacks are set up this way.

It’s easy to see how someone might quickly respond without a second thought, especially when they trust the sender.

BEC attacks have spiked dramatically this year, especially over the third quarter. Researchers have analysed 1.8 billion emails worldwide, discovering a shocking 208 million malicious emails among them. And of these malicious emails, more than half (58%) were BEC attempts.

The figures make it clear: BEC scams are now the biggest email threat to businesses.

Another thing worth noting? Most BEC scams target employees lower in the business, who might be less likely to question authority or be less aware of cyber threats.

Although BEC attacks are common, it’s also important to remember that scammers still use other methods too. This includes commercial spam and phishing attacks, which are designed to trick people into sharing personal information, like login details.

In fact, the combined effect of these types of scams now overshadows traditional ransomware and malware attacks.

Luckily, it isn’t complicated or expensive to protect your business.

Simply make sure that all members of your team are trained to think twice about every email they receive.

If an email asks for sensitive information or a financial transaction – especially if it feels urgent – your employees should know to stop and check with someone before they action anything.

Ever feel overwhelmed by the maze of chats, channels, and notifications in Microsoft Teams? Well, here’s the good news: Microsoft’s rolling out an update to help streamline things.

The update will create a simpler workspace that’s easier to navigate – grouping everything in one location under the Chat menu. Think of it as a central hub where all your key conversations and notifications live.

The update also includes a new “@mentions” view that gathers all your direct messages and important mentions in one place. This will make it easier to catch up on messages you’re tagged in, helping you to make sure important notifications don’t slip through the cracks.

Teams will also be getting improved filters and controls. This will let you do things like filter out less urgent notifications, as well as create custom sections to keep your chats, channels, and meetings organised by project or topic.

Another great feature being introduced is a new “favourites” section, allowing you to pin your top chats and channels for quick access.

Also, threaded conversations are expected to arrive some time in mid-2025. This will mean that replies get grouped together in the same thread, making it easier to follow discussions without losing track of previous messages.

All these improvements are coming to desktop, Android, and iOS – so your team will be able to stay on top of things no matter where they are.

Security alert: Does your business have old logins for ex-staff?

What’s easy to overlook but could leave your business open to cyber attacks? Unused logins. Yep, something as simple as failing to delete an old account could have serious costs for your business…

When someone leaves your business, you might be so wrapped up in the rush of everyday tasks, you forget to delete their login details.

It’s easy to overlook. You’ll get around to it later, right?

But unused login details could be a ticking time bomb for security breaches, leaving the doors wide open to cyber criminals. It can also be an unnecessary drain on your budget if you’re paying for old subscriptions you no longer need.

A recent report found that almost half of businesses had accounts that were no longer actively managed.

New phishing scam is smarter than ever… here's how to protect your business

Microsoft is warning business owners that trusted cloud storage services are being hijacked to trick you into handing over your data. Here we tell you what you need to know.

Microsoft is warning business owners about a new type of phishing scam (where cyber criminals pose as a trusted source to trick you into giving away login info), which uses popular cloud services like SharePoint and OneDrive.

Although these platforms are usually safe, scammers have figured out how to trick privacy settings to get past security checks.

The scammers hack your cloud storage by stealing your login details or buying them on the black market.

Once they get inside, they upload a file that is designed to look authentic – like a fake Microsoft 365 login page. They set the file to “view-only” or limit access to specific people, such as you and your team.

Opening these files or following any links inside the emails could cause serious damage to your business. Scammers can use your information to access your systems, or they can install malware (malicious software) that lets them cause disruption and steal information.

Recovering from these kinds of attacks can be expensive and time-consuming – not to mention the damage it could do to your business’s reputation.

Make sure your employees are aware of this new threat and know to be cautious when opening emails, even if they appear to come from a trusted service.

Before opening any shared files, double-check the sender’s identity. If something feels off, contact the sender directly to verify it.

Make sure you use multi-factor authentication (MFA) across all your team’s devices. This adds an extra layer of security by requiring a second piece of information (like a code sent to your phone) along with your password.

If you work on your phone while you’re on the move, it can be a hassle to find the right file once you’re back at your PC. Here we tell you about a cool new feature coming to Windows 11 that will help.

Microsoft is once again finding ways to make life easier for your business with Windows 11.

If you ever work on your phone as well as your PC, you’re going to love the new “Hand Off” feature that’s being tested right now.

The idea is this: Let’s say you’re in a meeting or on the move. And you start working on something in Microsoft Word or another app on your phone. Once you get back to your PC, a notification will pop up asking if you want to keep working on the document – allowing you to switch between devices seamlessly.

This feature is made possible through OneDrive’s syncing function. It’s already compatible with Android phones, and it’s likely to work for iPhones too, although that’s not yet been confirmed.

Being able to jump between devices without losing track of work could be a great benefit, especially if your team works remotely.

Although it hasn’t been rolled out just yet, “Hand Off” has clear potential to be a valuable tool for businesses.

If it ain't broke... Windows update makes signing out simple again

Having trouble finding the sign out button in Windows 11? You’re not the only one! Luckily, Microsoft have listened… find out more here.

Microsoft recently made changes to the Windows Start menu – and it caused a bit of an uproar.

Here’s what happened: Microsoft tried to streamline the Start menu by grouping related settings together. But they tucked the sign out option behind a three-dot menu, creating confusion for people trying to log out of their accounts.

Thankfully, Microsoft has listened to feedback and is now testing an update to put the sign out button back to where it was before.

This is good news for teams that have multiple profiles set up on one computer, making it easier to switch between accounts again.

These changes are part of a broader update to Windows 11 that’s currently being tested. The update will also bring in new features like media controls on the lock screen for when you’re playing music or videos, as well as the ability to share files directly from your search results.

Beware this malware: It "annoys" you into handing over login details

A sneaky new malware wants to annoy you into giving up your login details. It locks your browser in full screen mode, making you think you’re trapped… But you can easily escape and we’ll tell you how…

How cautious are you and your team with online security? You know about phishing scams, dodgy downloads, and not clicking suspicious links, right?

But an even sneakier new malware (that’s malicious software) wants to frustrate you into giving up your Google login details.

The malware doesn’t have a catchy name yet, but it’s part of a larger threat known as “Amadey”, and it’s been on the rise since August.

It forces your PC into something called “kiosk mode” (a setting often used on public computers that only lets you access one window). This allows it to lock your browser in full screen mode, hiding all your usual navigation buttons like the address bar and menus. Then you get sent to a fake Google password reset page.

Normally, you’d just hit the Esc or F11 keys to get out of full screen mode, right? Well, not this time. It won’t work if the malware has infected your PC. It wants to confuse you into thinking you must enter your password to solve the problem.

The password reset page will look like a real Google page. But the second you type in your details, they’ll be stolen by a second piece of malware hiding in the background, falling right into the hands of cyber criminals.

Pretty scary stuff.

But here’s the good news: You can break free without giving up your details.

If your browser gets stuck in full screen mode, try hitting ALT+TAB to switch tasks, or ALT+F4 to force the window to close. Otherwise, try closing it through your task manager (CTRL+ALT+DELETE).

If all else fails, just restart your PC by holding down the power button or unplugging it, then get an expert (like us) to look at the malware.

Prevention is always the best approach, though. Be wary if your computer starts behaving strangely, especially if your browser suddenly goes into full screen mode and won’t let you navigate away.

Avoid clicking on suspicious links or downloading attachments you aren’t sure about. And as tempting as it might be to get past an annoying screen, never enter your password unless you’re 100% sure the website is legit.

Microsoft's browser takes back the Edge with streamlined settings

Trying to find your way through the Settings menu in Microsoft Edge might leave you overwhelmed but a new update is about to make it easier. Here we tell you how.

If you’ve ever tried to tweak a setting in Microsoft Edge and found yourself lost in all the options, this one’s for you.

Microsoft is cleaning up the Settings page, so you’ll no longer need to dig around in endless menus to find the setting you need.

What’s changing?

You’ll see a new quick access panel under the main Settings menu, giving you shortcuts to the features you’re likely to use the most.

Settings will also be split into smaller submenus, like “System and Performance” and “Appearance”, making it easier to find exactly what you want.

Better yet? The submenus will have their own quick access shortcuts too.

The improvements will give Google Chrome (which has been praised for its well-organised settings) a run for its money. So if your team doesn’t already use Edge as their default browser, it’s a great time to give it another try.

Microsoft is currently testing the update, and it should start rolling out soon. Once it does, you can expect much smoother navigation.

A third of all data loss is caused by problems with backups

Your business data is backed up and recovery tools are in place. So, your data is safe, right? Sadly… not always. Here’s why we recommend backups are checked regularly..

Losing access to your business’s data – even temporarily – is a nightmare worthy of a horror movie.

Data backup tools create copies of your data and store them in a safe place. If something goes wrong, recovery tools will use these copies to restore your lost files.

So, if your business already uses backup and recovery tools, you’d think your data is safe… but this isn’t necessarily true.

A new report shows that some backup tools aren’t always as reliable as they should be. In fact, a third of all data losses are caused by backup-related issues. When people try to recover data, they discover it’s been lost or corrupted.

It’s not just corrupted backups that you should be aware of.

One of the biggest threats to businesses right now is ransomware. This is a type of malicious software (or "malware") that locks you out of your files unless you pay a ransom to regain access.

The report found that half of businesses using backup tools still ended up paying ransoms to retrieve their files, because it was faster than trying to use their own recovery tools. Even worse? Only a small number of businesses that paid ransoms were able to fully recover their data.

Backup tools are supposed to keep your data safe, so why are they unreliable for so many businesses?

Often, it’s because they haven’t been set up properly. And even when they are, they still need to be verified regularly to make sure they are still backing up your files.

Also, older backup and recovery tools can’t always keep up with today’s sophisticated cyber attacks.

You might think of the Windows Photos app as a basic tool for viewing and managing images. But with an upcoming update to Windows 11, there’s a new feature that could be very useful for your business: Visual Search with Bing.

With the update, you’ll be able to do a reverse image search straight from the app, showing you similar images and related information.

How can this benefit your business?

Let’s say you’re looking at a photo and you want to know more about a product, place or person in the image. Reverse image search is a faster way to get the information you need.

It’s a great tool for eCommerce store owners – you can use it to find out who else is selling a product, compare pricing, or track down new suppliers.

Marketing teams can also use it to easily find similar visuals to use in campaigns, or to make sure images aren’t being used elsewhere. It also helps you check the origin of an image to make sure you have permission to use it.

If your business is in property or research, you can save time by using reverse image search to quickly identify the locations or objects you see in photos.

Microsoft has also made it easier to flick through your photos and edit images by improving navigation and introducing a quick access editing tool right in the app.

Another big bonus: You’ll now be able to sync Photos with iCloud – great for teams that use Apple devices alongside their Windows PCs.

These features should be rolling out soon in a future Windows 11 update.

Whether you’re drafting emails, writing reports, or creating presentations, spelling mistakes and typos can easily be missed. This means you run the risk of looking unprofessional, especially when communicating with clients or business partners.

Here’s the good news: Windows 11 comes with built-in spell check and autocorrect tools that can put an end to embarrassing spelling mistakes.

These tools are easy to set up. And once that’s done, you won’t need any extra software to make sure your text always looks clear and professional.

Want to know how to use them?

First, open Windows Settings. Then select Time & Language and click on the Typing page. From there, you can turn on options like ‘Autocorrect misspelled words’ and ‘Highlight misspelled words’.

These features will work across most apps, fixing errors and flagging possible spelling mistakes.

You can even get word predictions as you type by enabling text suggestions.

Does your business run in multiple languages? Be sure to switch on the ‘Multilingual text suggestions’ feature. This will bring up word suggestions in whatever language you are using.

While the spelling tools built into Windows 11 will work across most apps once enabled, some apps (like Notepad and Outlook) need a little extra set up.

For example, in Notepad, you’ll need to click the gear icon for settings to switch on the spell check feature.

Your team probably spends a lot of time in Outlook sending emails, so it’s well worth switching on grammar tools here. Go to Editor Settings under the Options tab. From there, you can turn on features like autocorrect, text predictions, and even tone adjustment.

And if your team uses Microsoft Edge for browsing, you can set up spell check and grammar tools there as well. Just head to Settings, click on Languages, and turn on the grammar and spell check options.

If you’ve ever had the misfortune of seeing the dreaded Blue Screen of Death (BSOD) on your computer, you know just how frustrating it can be. It’s that moment when your screen turns an ominous shade of blue, and you’re left wondering what went wrong and how much work you’ve just lost.

For businesses, these crashes are more than just annoying – they can be disruptive and cost money.

Recent research highlights just how common BSODs have become, with one in 200 devices crashing under normal use. And it gets worse. During the recent CrowdStrike outage, that number shot up to one in ten devices.

Is it something that’s on your radar? It should be, because it might affect your business one day.

What is cyber extortion?

It’s a type of cyber crime where criminals threaten to harm your business by compromising its data and digital assets unless a ransom is paid. These threats often involve ransomware, a malicious software that encrypts your data, making it inaccessible until you pay the ransom.

Sometimes, cyber criminals go a step further by stealing data and threatening to release it publicly on dark web leak sites if their demands aren't met. This dual threat is known as double extortion.

Back up your data: Make sure you have a robust backup plan. Keep your critical data in an offline or offsite location and regularly test your backup restoration process.

Keep software updated: Make sure all your devices use the latest software, especially those connected to the internet.

Why should I backup my 365 cloud products?

Although Microsoft do offer native tools and retention policies for the recovery of lost data, these are more for compliance than for backup.

Below are the reasons why we recommend using a third party backup solution to protect your valuable data:

While Office 365 provides some level of redundancy and protection, it doesn't protect against all types of data loss, such as accidental deletions, user errors, or malicious attacks like ransomware.

The CrowdStrike outage explained for Northamptonshire business owners and managers

On Friday 19th July 2024, a routine software update from CrowdStrike, a leading cyber security company, caused a major issue affecting an estimated 8.5 million Windows computers.

This incident led to significant disruptions in many sectors, including airports, supermarkets, and media.

Here we explain what CrowdStrike is, what went wrong with the update, how it impacted businesses, and how to protect your business.

What is CrowdStrike?

CrowdStrike is a leading cyber security company, founded in 2011 and based in the United States. Essentially, they act as digital bodyguards for businesses and large organisations, protecting them from cyber threats like ransomware, malware, and other online attacks.

CrowdStrike is trusted by a wide range of businesses, including more than 500 companies from the Fortune 1000 list. They have a solid reputation for responding quickly to cyber threats and have been involved in investigating major cyber incidents.

Their main product is called the Falcon sensor program. This cloud-based security system is designed to detect and stop cyber threats in real time.

What is Falcon sensor?

Think of your computer as a house. Regular antivirus software is like a security system that looks for specific types of bad guys (like burglars) that it recognises from before. If it sees any of these known bad guys, it stops them from getting in.

Falcon sensor is something more, called an EDR (Endpoint Detection and Response). It's like having a smart security guard for your house. This guard not only looks for the bad guys that the antivirus knows but also keeps an eye out for any strange or suspicious activity. The guard can also investigate unfamiliar situations and take action to protect your house, even if the threat is something new.

So, while an antivirus is good at stopping known threats, an EDR is much better at handling new and unexpected threats to keep your computer safe. The trade-off is that EDR requires a deeper level of access.

EDR requires rapid updates to stay on top of quickly changing threats. Unlike other software updates, these can’t be rolled out in stages.

What happened?

On 19 ^th July, a routine software update from CrowdStrike caused major disruption for many businesses around the world.

Early that morning, CrowdStrike released an update to their Falcon sensor program. This update was intended to improve security by targeting specific tools used in cyber attacks. But the update contained a coding mistake, known as a "logic error."

This mistake caused Windows computers running Falcon sensor to crash, leading to the infamous "Blue Screen of Death" (BSOD).

The impact was immediate and widespread.

Many businesses found their Windows computers unusable, resulting in significant disruption. Airports experienced chaos as their systems failed, supermarket checkouts malfunctioned, and journalists faced difficulties reporting on the issue due to their equipment crashing.

The problem affected millions of devices globally. People reported that their computers went into a reboot loop, making it impossible to use them.

CrowdStrike responded quickly. Within an hour of identifying the issue, they began working on a fix. By 5:27am UTC, they released an update to correct the faulty configuration files.

But the recovery process varied. For many, the issue could be resolved remotely by deleting the problematic file if the system was online. For those with offline systems, manual deletion of the file was necessary, which often required help from IT support.

What was the impact on businesses?

The CrowdStrike outage had a huge impact on businesses across many sectors.

Airports and airlines: The outage led to significant disruptions at airports. Systems that manage flight schedules, ticketing, and customer service were hit, causing delays and confusion. Passengers experienced long lines and delays as airport staff struggled to manage without their usual digital tools.

Supermarkets and retail: Many supermarket checkouts malfunctioned, making it impossible to process sales. This led to frustrated customers and lost sales as stores struggled to operate without their point-of-sale systems. Some retailers had to close temporarily until their systems were restored.

Banks and financial services: The financial sector also felt the impact, with banks experiencing system outages that affected transactions and customer service. General business operations: Across the board, businesses that relied on Windows systems experienced productivity losses. Employees were unable to access important files, communicate effectively, or perform their usual tasks. Many companies found it difficult to provide customer support as their systems were down. Call centres and online help desks faced increased volumes of queries and complaints, further straining resources.

Healthcare: While not as widely reported, healthcare institutions using affected systems could have faced delays in accessing patient records, scheduling, and other critical operations, potentially impacting patient care.

Chrome extensions are great for boosting productivity and saving time. But if they’re not the real deal, you could be at risk from malware. We tell you how to stay protected.

If you use Google Chrome in your business, you’re probably familiar with extensions. These useful tools can enhance your browsing experience in countless ways, from blocking annoying ads to reducing distractions.

Extensions are incredibly popular because they can add so much functionality to your browser. But just as you need to be careful when installing new apps on your phone, you must also be cautious when adding new extensions to your browser. That’s because they come with a risk of malware.

It’s short for malicious software – that’s any software intentionally designed to cause damage to a computer, server, or network. Cyber criminals use malware to steal data, hijack systems, and even empty your bank accounts.

Google Chrome holds about 65% of the browser market share worldwide, making it the most popular browser by far. This popularity makes Chrome a prime target for cyber criminals. While cyber attacks sometimes exploit vulnerabilities in the browser itself, there’s an easier way to target Chrome users: Through malicious extensions containing malware.

Although Google keeps a tight watch on its Chrome Web Store, the risk is still there. A recent report claims 280 million people installed a malware-infected Chrome extension between July 2020 and February 2023. That’s a huge number and highlights the importance of being vigilant.

Surprisingly, many malicious extensions remained available for download on the Chrome Web Store for a long time. On average, malware-filled extensions stayed up for 380 days, while those with vulnerable code were available for about 1,248 days. One particularly notorious extension was downloadable for 8 and a half years before being removed.

So, how can you protect yourself and your business from these malicious extensions? Here are five steps we recommend.

1. External reviews: Since checking ratings and reviews on the Chrome Web Store isn’t always reliable (many malicious extensions don’t have reviews), look for external reviews from trusted tech sites to judge whether an extension is safe.

2. Permissions: Be cautious if an extension asks for more permissions than it should. If a new extension requests extensive access to your data or system, this could be a red flag.

3. Security software: Use robust software to catch malware before it can do any harm. This is your last line of defence if you accidentally install a malicious extension.

4. Necessity: Before installing any new software or browser extensions, consider whether you really need it. Often, you can achieve the same functionality visiting a website.

5. Trusted sources: Only install extensions from trusted sources or well-known software providers. This significantly reduces the risk of downloading a harmful extension.

Chrome is the most popular browser, which means it will always be a target for cyber criminals. Google’s security team works hard to review every Chrome extension to ensure they are safe, but it’s still crucial to be vigilant.

A global IT outage has hit companies around the globe, grounding planes and trains, and taking telecoms, TV, radio and supermarkets offline.

What caused the Crowdstrike outage?

The recent CrowdStrike outage was caused by an update to its security software, which led to crashes on Windows hosts. This incident significantly impacted various services, including Microsoft's cloud services, which disrupted flights, banks, telecommunications, and businesses worldwide. Airports globally are expected to be affected. It was determined to be a technical issue rather than a cybersecurity attack.

What is the widespread impact?

Microsoft Services: Disruption of various Microsoft 365 apps and services.
Air Travel: Delays and interruptions at airports, affecting airlines like Frontier in the US and AirAsia.
Financial Institutions: Banks experienced service interruptions.
Telecommunications: Outages in telecom services.
Retail: Supermarkets faced operational issues.
Public Services: Police systems in New South Wales were affected.

Despite the severity, it was confirmed as a technical issue rather than a cybersecurity breach

Should you be concerned about your own systems?

Although Microsoft has confirmed the outage has affected some of their systems, it is reported as being isolated to specific sectors of industry. Specifically travel, banking, telecommunications, and public services globally. It is therefore highly unlikely that any of Serendipiti's clients have been directly affected by this outage.

That said, this is being reported as the biggest outage of all time, and the situation is fluid. We will therefore be monitoring this outage closely over the coming hours and we will update the status below should the situation change for our clients.

What should I do to mitigate these kinds of disasters?

Ransomware threats are surging – here’s how to protect your business

After years of decline, ransomware attacks are on the rise again. And more businesses are being targeted. It’s time to protect your data. Here we explain how.

Imagine waking up one morning, turning on your computer, and finding that all your important files – everything from customer data to financial records – are locked. Tight.

And then a scary message pops up demanding a ransom fee to unlock them.

That’s ransomware in a nutshell. It’s a type of malicious software that hijacks your data and holds it for ransom.

It usually starts with an innocent-looking email or link. You might get an email that seems legitimate, asking you to click on a link or open an attachment.

This is known as a phishing email, where the sender appears to be genuine but isn’t. Once you click, malicious software is silently installed on your system. From there, the cyber criminals quickly go to work.

They’ll be encrypting your files so you can’t access them. Then, you get that dreaded ransom note, demanding payment in exchange for a decryption key to unlock your files. Paying the ransom is a risky move because there’s no guarantee you’ll get your data back, and it just encourages the attackers to target more victims.

2023 was a particularly bad year for ransomware, with attacks surging after a two-year decline. According to a report, there was a huge increase in ransomware incidents, breaking a six-year record.

One reason for this spike is the rise of something called Ransomware-as-a-Service (RaaS). This model lets cyber criminals "rent" ransomware tools, making it easier than ever for them to launch attacks.

As a result, more businesses are finding themselves posted on data leak sites, with a 75% increase in the number of victims between 2022 and 2023.

Ouch.

And it gets worse. Attackers are getting smarter. They’re developing new variants of old ransomware, sharing resources, and using legitimate tools for malicious purposes.

They’re also working faster, often deploying ransomware within 48 hours of gaining access to a network. And they tend to strike outside of work hours, such as when you’re tucked up in your bed, so they’re less likely to be noticed.

If your business falls victim to a ransomware attack, the consequences can be devastating. You might face significant financial losses, not just from the ransom itself but also from the cost of downtime and recovery.

There’s also the risk of losing critical data if you can’t decrypt your files.

Your reputation could take a hit if customers find out their information was compromised. Oh, and your business operations could be severely disrupted, affecting your ability to serve your clients.

The most important question then: How can you protect your business from this growing threat?

· Start by educating your team. Make sure everyone knows how to spot phishing emails and avoid suspicious links and attachments

· Regularly back up your critical data and securely store those backups offline

· Keep your software and systems up to date with the latest security patches, and invest in strong security tools

· It’s also important to limit access to your data. Only give employees access to the information they need for their jobs

· Monitor your network for unusual activity and have a plan in place to respond to incidents quickly

You might think that with so many security tech tools, you're covered. But guess what? Your employees are your first line of defence, and they’re irreplaceable when it comes to spotting and reporting security threats.

Imagine this: One of your employees receives a fishy-looking email that appears to be from a trusted supplier. It's a classic phishing attempt (that’s where a cyber criminal sends an email and pretends to be someone else to steal your data).

If the employee brushes it off or thinks someone else will handle it, that innocent-looking email could lead to a massive data breach, potentially costing your company big bucks.

The truth is, less than 10% of employees report phishing emails to their security teams. That's shockingly low. Why? Well:

· They might not realise how important it is

Have you heard about Team Copilot yet? It’s the latest addition to Microsoft's suite of AI tools and should be available later this year.

Think of Team Copilot as an advanced, AI-powered assistant designed to help your team work better together. While Microsoft’s 365 Copilot has been a personal assistant for individual tasks like drafting emails or recapping missed meetings, Team Copilot takes it to the next level by focusing on group activities.

There are three main ways Team Copilot can help your team:

1. Meeting facilitator

During a Teams video call, Team Copilot can take notes that everyone in the meeting can see and edit. It can also create follow-up tasks, track time for each agenda item, and assist with in-person or hybrid meetings when used with Teams Rooms.

2. Group text chat assistant

In group text chats within Teams, Copilot can summarise lengthy conversations to highlight the most important information. It can also answer questions from the group, making it easier to stay on track and informed without wading through pages (and pages and pages) of chat history.

3. Project manager

Team Copilot can help manage projects by creating tasks and goals within Microsoft’s Planner app. It can assign these tasks to team members and even complete some tasks itself, like drafting a blog post. It will notify team members when their input is needed.

You know that productivity isn't just about individual work. It’s also about effective teamwork. So, by helping with group-orientated tasks, Team Copilot can make big improvements to your overall productivity.

It’s important to note that while Team Copilot is incredibly helpful, it doesn’t replace the role of a human meeting facilitator. It won’t lead meetings or ensure inclusivity, but it will create agendas, track time, take notes, and share files.

It’s more of a business insights assistant, helping with group interactions and meetings rather than censoring comments or keeping people in line. But hey, who knows what’s to come in future!

How and why was your Facebook hacked?

As a professional IT Consultant (and occasional user of Facebook), I wrote this article after my own Mother's Facebook account was hijacked...

... The perpetrator was only after my Mother's Facebook identify - and thankfully she was not scammed as a result. However, she did ask me why they did it, how they did it, and what she could do to prevent it in future. The easiest way for me to explain was anecdotally:-

John has a Facebook account. He logs with his only email address ‘john@john.co.uk’ with the password ‘RedApples’ (John likes red apples, so it is his favourite password.)

One day, John registers on a website selling Garden Furniture. He sets up an account with "gardenfurniture.com" and activates the account using his email address and favourite password (so that he doesn’t forget it later).

Five months later, the garden furnitures website is hacked and thousands of registered users emails addresses and passwords are stolen (including Johns). Now the list of login names and password is on the market, available to the highest bidders.

Eric is just one of many who buys that list.

Eric is now free to attempt these credentials for ill gotten gains.

He comes across john@john.co.uk on the list - password "RedApples". Eric tries logging into Barclays, Amazon, NatWest, Facebook etc (Eric has no idea if he will be successful, but he has both the time and incentive to persevere). Eric is successful - Facebook proves fruitful and he is now logged in as John.

Now Eric has access to John's account - including Johns list of contacts. Eric exports a copy of Johns contacts (together with copy of Johns profile photos) and creates a brand new facebook profile (in Johns name). He uploads Johns profile photos, adds a few extra posts copied from the original hijacked account, then logs off - leaving the original Facebook account untouched (no need to draw attention to his unsolicited use of that account).

From the new fake Facebook account, Eric is now free to send all of Johns contacts a Facebook request - knowing full well that many will unwittingly accept. A few accepted friend requests later, Eric now has an audience of PEOPLE WHO TRUST HIM BECAUSE THEY THINK HE IS JOHN. . Worse still, Eric can communicate with Johns contacts without John knowning, because the communication is not happening from within Johns original account.

Eric now has an audience to illicit loans from, or to hook into narrative that leads them right into a scam.

THE MORAL OF THE STORY? Do not re-use an already active password. Use different passwords for every site. Additionally, use a third-party password tool to generate and manage your online passwords. Users with different passwords for every site are less likely to get hacked in the way described above.

I have now reset my Mother's Facebook password, and enabled two-factor-authentication (instructions below). I also changed her profile picture (so that it no longer matched the fake account).

I did actually receive a friend request from fake account holder (which I subsequently accepted). I then observed who he/she had befriended and subsequently private messaged those I knew to warn them that they had accepted a friend request from a fake account. I then sat back and watched the quantity of "friends" start to drop on the fake account - with much pleasure!) I also posted on the wall of the fake account with a message of my own:

"warning! this is a fake account - do not accept requests or communication from the trash who created it"!

Within 5 minutes of my posting, the fake account was deleted. One small victory.

Of course, there are other ways in which your online accounts can be compromised. This was just one of them - and topical to what happened to my loved one.

HOW TO CHECK IF YOUR EMAIL ADDRESS HAS BEEN COMPROMISED

You can check to see if your email address has been breached by using this third party website . Simply enter your email address then

click PWNED?

This tool will list website sites that have been breached (assuming it was reported by the website owner) - giving you the heads up on whether or not you should change your password. Dont panic if this site says you have been "pwned" - just look at the section "breaches you were pwned in" and make an informed decision as to whether you need to change your password for any of the listed sites.

PASSWORD MANAGEMENT TOOLS

I would recommend a password application like 1Password and MSecure (links below). You do pay a small subscription for them, but it is worth it to keep your passwords safe.

HOW TO SET UP TWO-FACTOR-AUTHENTICATION ON FACEBOOK

On your PC or laptop, do the following:

- login to Facebook and go to Account > Settings and Privacy > Settings

- Click SECURITY & LOG

- Click EDIT next to "use 2-factor authentication"

Yyou can then chose your preferred method. I personally use "Text Message (SMS)" because I find that easiest, but have a play with all the options to find the one that suits you.

The Limited Unlimited

When offered an 'all-you-can eat' buffet, you could be forgiven for delighting at the idea of eating an unlimited amount of food. However, there is still a limit – not in produce, but in consumption. There is only so much we can eat in one sitting and unless invited to stay the whole day, the so-called unlimited offer is in truth limited to what you can eat in a given time constraint.

IT support is something that is available on an unlimited basis too - though only from a select few. For you the client, there are some perceived benefits to unlimited support – notwithstanding the fact that, no matter what goes wrong with your computer, you need not worry about how long a consultant spends fixing your problem because you are covered by your unlimited support arrangement. Or are you?

Some of the unlimited arrangements I have come across are far from unlimited. The support company takes a fixed amount of money from their client in exchange for an unlimited amount of IT support, but there is so much more to it than just that simple trade.

To provide this service, the support company will need a high volume of technical staff to be able to meet the demands of your client base. With so many different engineers assigned to your account, you can waive goodbye to any shred of continuity.

Even if you are lucky enough to be assigned the same engineer, chances are the objective for them is to protect their costs by attending only to the problem you have reported. If that engineer has a busy day, chances are your other IT issues may just have to wait.

Of course, not all support companies offering this service are focused on their own costs. If you are fortunate enough to find an arrangement of this kind where the engineer is happy to indulge you and any ad-hoc issues you may have, then great – hold onto them and never let them go. But the reality is that, no matter how honorable the intentions, there is one factor that creeps in and quickly destroys the spirit of the arrangement for both parties – human nature.

From the perspective of the consultant, it will be in his interest to spend as little time on site as possible, in order to maximize the yield gained from your monthly payments. To achieve this, he may want to get the job done quickly. He is less likely to check other areas of a system, or make pro-active recommendations that could make a difference to your productivity or infrastructure.

From your perspective as the client, ‘unlimited’ undeniably invokes the human instinct to indulge. With unlimited support at your disposal, the desire to find IT issues that need to be fixed can be overwhelming – especially if several months have passed without you needing to call support.

The bottom line is, this arrangement might sound wonderful, but in reality it is neither constructive nor efficient. In practice, it is just another “use it or lose it scheme.”

Any arrangement that requires you to take the risk with your hard-earned cash should be avoided at all costs. Find a solution that allows you to budget your IT spend, without any loss of revenue.

Unconciously Competent

When it comes to resolving IT issues, many end users will automatically reach out to IT support. Whilst this is entirely understandable, there are occasions when this may lead to a missed opportunity of self-help and reduced support costs.

The fact is, many users are actually very skilled and knowledgeable - they just don't know it. I call this 'unconsciously competent'.

Some end users are quite adept at grasping specific steps and processes (whether they have been shown by tech support or figured it out for themselves) and yet they resist the temptation to come to the aid of a colleague, even though they have a pretty good idea how to fix the problem.

Why are end users not sharing their skill sets with their colleagues, and helping one another fix their own IT problems?

Notwithstanding the fact they may not be authorized to do so, they are likely to be afraid of breaking something. They may have tried to help in the past, only to be shot down by a co-worker, or they might lack confidence and be afraid of getting it wrong.

If users were confident enough to share what they know, and their knowledge harvested and shared with other employees, the truth is that dependency upon IT support would reduce massively.

Specifically, basic tasks that tech support may have just talked a competent end user through could be put to good use if that individual were to be empowered to share their knowledge with others.

Let me give you an example: A computer user calls tech support. The fix was a few clicks away and the end user understood the instruction. Five minutes later, a colleague two desks away from the first employee phones tech support with the same issue. Of course tech support will help, but it might have been just as easily handled by that first member of staff (given half a chance).

Multiply this by 15-20 end users, and you have yourself a whole two hours of IT support charges that could have been handled in-house. At the very least, consider implementing a method for staff to share troubleshooting tips with one another.

Alternatively, if you recognize an end user with a natural ability and flair for grasping IT, consider assigning them as the first point of contact for all IT issues. Even the responsibility of collating IT enquiries in the first instance is a good start, since it will eliminate duplication. With the right training, that appointed individual may even be able to resolve the issue directly.

With the right guidance from tech support, it is entirely possible to empower one end user to act as front line support - reducing the dependency on external support.

Unbox the Goods

There are multiple ways you can avoid unnecessary IT support costs - this is just one of many shared in our free book.

Purchasing new equipment is an inevitable part of small business IT growth and stability. Unfortunately the costs associated with new equipment are not limited to the initial purchase. Whether replacing old PCs or adding new ones to an existing network, you are likely to need tech support to assist in their setup.

If you are working with an IT support company, it is likely you will invite them to set the computers up for you. If the consultant you appoint is supplying the goods, delivery and installation is likely to occur on the same day. However, you might prefer to order in the equipment from the manufacturer directly, then contact tech support when they arrive.

Either way, there is an opportunity for you to save time on installation costs. Here's how.

First, consider the positioning of the computers. If the new computer is not intended as a replacement for an existing one, check that there are sufficient power outputs at the desk where the new PC will reside. It would be a good idea to organize some extension leads or surge protector ahead of the day of installation too. A computer will typically require two power connections, so a four-way extension would be a safe bet.

Also give thought to the network connection. You are likely to want the new computers to be joined to your existing network. Unless it is a laptop being installed, your PC will not come with wireless capability as standard, so you will need to ensure you have a network point nearby. If in any doubt as to what you are looking for, call tech support ahead of their visit to discuss the prerequisites.

Another way to save time and money on new equipment installation is to be on hand to unpack the equipment. The time it takes to unbox a PC, position it on the desk, plug it in and turn it on takes around 10 minutes.
